Cancellation & Refund Policy
Registration and payment
All registrations require full upfront payment. A registration is confirmed once payment has been received.Cancellation by the attendee
If an attendee needs to cancel their registration, the following refund conditions apply:• Cancellations made more than 90 days prior to the conference start date are eligible for a full refund.
• Cancellations made between 30 and 90 days prior to the conference start date are eligible for a 50% refund.
• Cancellations made within 30 days of the conference start date are not eligible for a refund.All cancellation requests must be submitted in writing via the website enquiry form or official contact email.
Compassionate grounds
Requests for cancellation on compassionate grounds will be considered on a case-by-case basis at the organiser’s discretion.Transfers
Registrations may be transferred to another eligible attendee up to 30 days prior to the conference, subject to approval by the organiser.Non-attendance
Failure to attend the conference, including due to travel disruptions, illness, personal circumstances, or visa issues, does not automatically entitle the attendee to a refund.Conference changes or cancellation by the organiser
In the unlikely event that the conference is postponed or cancelled by the organiser, registered attendees will be offered either:
• A full refund, or
• The option to transfer registration to a rescheduled date or future eventThe organiser is not responsible for additional costs incurred by attendees, including travel or accommodation expenses.
Force majeure
The organiser is not liable for cancellations or changes caused by events beyond reasonable control, including natural disasters, government restrictions, public health emergencies, or international travel disruptions. -
Conference participation
This conference is an educational event designed to support learning, discussion, and professional connection. Some sessions may include optional demonstrations or practical components.Personal wellbeing
Attendees are encouraged to take care of their own wellbeing and to participate only in activities they feel comfortable with. Participation in any practical component is entirely optional, and attendees are welcome to observe rather than take part.Responsibility
Attendees attend the conference at their own discretion and are responsible for managing their own health and personal safety throughout the event, including during travel, accommodation, and any associated activities.Support and care
The conference does not provide medical services. Attendees are responsible for seeking and covering the cost of any assistance or care they may require during their time in Japan.By attending the conference, attendees acknowledge and accept these conditions.

Travel and personal insurance
All attendees are strongly advised to obtain comprehensive travel insurance that covers:
• medical and hospital expenses
• injury or illness
• emergency evacuation
• trip cancellation or interruption
• loss or theft of personal belongingsInsurance should be valid for the full duration of travel to and from Japan.
Conference risks
While the organiser takes reasonable steps to provide a safe and professional event, attending an international conference may involve risks including, but not limited to:
• travel delays or cancellations
• illness or injury
• venue changes
• weather or environmental disruptions
• changes to schedules or speakersThe organiser is not liable for losses, damages, or costs arising from such circumstances.
Insurance requirement
Attendance is conditional on the attendee accepting full responsibility for their own insurance coverage. The organiser does not provide personal, medical, travel, or professional indemnity insurance for attendees.Liability limitation
To the fullest extent permitted by law, the organiser disclaims liability for any loss, injury, or damage sustained by attendees in connection with the conference.
